1. Define acceptance before delivery
List the target host, BIOS or firmware, operating system and intended workload. Separate essential compatibility requirements from preferred performance targets. Agree sample quantity, condition, charges and return arrangements with the supplier.
2. Record product identity
Photograph both sides and the packaging. Record manufacturer, model, capacity, serial number, firmware and any accessible component information. Ask how the production order will be tied to the evaluated configuration.
3. Test in the intended environment
Check recognition, reported capacity and normal operation on the target system. Use the relevant application or workload, record the settings and check thermal behavior. Follow product documentation and keep a backup before any testing that could overwrite data.
4. Close the approval loop
Summarize results as accepted, accepted with conditions or rejected. Record open issues and the exact configuration approved. A sample approval should not silently permit component substitutions or replace agreed incoming inspection.
Bring these requirements into the quotation.
A complete brief helps the supplier respond to the actual purchase.
