1. Identify the warranty provider
Confirm whether the contractual warranty is provided by the manufacturer, distributor or seller. Ask for duration, start date, covered failures and exclusions. Do not assume a pictured brand gives international warranty coverage.
2. Record the claim requirements
Ask which records are needed: invoice, serial number, photographs, error description, SMART information or test results. Agree how a return authorization is issued and where an approved return will be sent.
3. Clarify remedies and costs
Document whether eligible claims lead to repair, replacement or credit. Agree transport costs, inspection charges, handling of no-fault-found items and the expected response process. Do not rely on a generic warranty badge.
4. Protect business data
A returned storage device may contain sensitive information. Follow the buyer’s data-handling requirements and agree whether media must be retained, erased or returned. Back up data and use the applicable product instructions; replacement hardware does not imply data recovery.
Bring these requirements into the quotation.
